Clubhouse Information
The clubhouse may be rented to any condominium unit owner of the Forest Edge community who is in good standing with their condominium association. A tenant also may rent the clubhouse only with written authorization from the unit owner accepting final responsibility.
Renter Responsibilities
- THE RENTER MUST BE IN ATTENDANCE AT ALL TIMES DURING THE FUNCTION
- The renter agrees to hold harmless the Forest Edge Recreation Association, its Board of Directors, and the affiliated condominium associations from any and all liabilities and actions of whatsoever nature by any guest or guests of the renter that may develop from the use of the clubhouse and the related recreational facilities. The renter is responsible for the general (loud, boisterous, reckless, offensive) conduct of his/her guests. All attendees must comply with all civil laws and ordinances.
- The Forest Edge Recreation Association, its Board of Directors and the affiliated condominium associations will NOT be responsible for the loss and/or damage to any personal property.
- The renter will be held responsible for any loss and/or damage to the clubhouse, appliances, furniture, equipment, and the related recreational facilities, including the parking lot and the pool deck as a result of their event. The cost of any loss and/or damage will be assessed and determined by the Board of Directors and charged to the renter. Should this debt to the Association NOT be paid within 30 days of notice, the board of directors will pursue all means possible for debt collection including legal action. Until the debt is lifted, the renter/unit will be prohibited from using FERA recreational facilities.
- The renter has exclusive use of the clubhouse when a $100.00 rental fee and a $100.00 security deposit fee have been received. The refundable deposit will be returned in approximately 3-4 weeks provided the facility has not been damaged in any way. (In addition, forfeiture of the security deposit may occur if FERA directives are disregarded/violated.) The check must be made out to Forest Edge Recreation Association (FERA) and turned over to the rental event scheduler. If paying 30 days or less prior to the renter’s party, then a money order and/or cashier’s check is required. NO CASH PAYMENTS ARE ALLOWED TO THE RENTAL EVENT SCHEDULER. Personal checks will be accepted provided they are received 30 days in advance of the rental date reserved and must be drawn from home-owner’s account.
- CLUBHOUSE RENTAL DOES NOT INCLUDE USE OF THE POOL/POOL DECK DURING NORMAL OPERATING HOURS. When the pool is open (in-season) and your party extends past the pool’s scheduled hours, the renter must hire a pool attendant arranged by FERA for a minimum of 4 hours for $50 (8 PM Midnight) and $15 per hour after midnight, until you leave the property. Attendant must be paid in exact cash. All guests/renters must be out of Clubhouse by 8 PM if no pool attendant is previously arranged. You and your guests may enter the pool deck and use the pool ONLY after normal pool operating hours and if a pool attendant has been arranged for you. Use of the rear doors in this case are permitted.
- SMOKING/VAPING IS PROHIBITED IN THE CLUBHOUSE & UPPER DECK AND IN THE POOL AREA. A fine of $100.00 will be levied for smoking/vaping in these areas. Any damage to the awning (smoking holes etc.) from this violation will also be assessed to the renter.
- The renter agrees to return the clubhouse (and pool area if arranged after hours) to their original and clean condition. This includes the kitchen, bathrooms, and fireplace. Also, the renter ensures the parking lot is party-related debris-free (i.e., soda cans, paper plates, etc.).
- A renter does not have the exclusive use of the other recreational facilities when renting the clubhouse. No activity related to the clubhouse rental may interfere with the activities of other residents using the recreational facilities. (Example: pool, common areas, playground, basketball court, etc.) Nothing may be set up outside the clubhouse without prior approval.
- You will be charged for the replacement cost of fire extinguishers that are discharged at your party for purposes other than a fire emergency.
- The renter is responsible for any damage or removal of AED equipment. You will pay the current replacement cost if this equipment is not used appropriately or damaged. (In May 2019 the cost of the AED was $1,660.00)
- No animals of any kind are allowed in the clubhouse or inside the pool area.
- Tape or other adhesives may not be used anywhere or on anything that may leave marks, blemishes, or other damage. Balloons, if used, must be secured so they do not travel to the ceiling and ceiling fans. Any damage to the ceiling fans from airborne objects will be assessed to the renter. **Signs, balloons etc. which may be placed outside on FERA property must be removed immediately following your event. They cannot be left overnight. Nothing can be affixed outside that can cause damage. No confetti!
- Clubhouse furniture may be moved inside the clubhouse but must be returned to its original location by the renter without damaging the floor. Clubhouse furniture may NOT be removed from the clubhouse for any reason. Pool furniture cannot be brought into the clubhouse. Anything which could potentially damage or scratch the vinyl laminate flooring must be placed on a rug.
- The selling of alcohol at the clubhouse is prohibited. The renter shall insure that alcohol is not served to minors and that his/her guests do not have too much to drink, according to Connecticut State Law on liquor.
Number of Guests and Party Hours
- It is understood that the maximum number of guests permitted is 120 standing, or 88 seated guests in accordance with Branford’s Fire Laws.
- The party rental must end by 1 a.m. on Fridays and Saturdays. On Sunday through Thursday the party rental must end by 11:00 PM. (This includes clean-up and final exit.)
Cleanup
- A penalty will be deducted from the deposit if the facilities are NOT cleaned, and the key returned by 8:00 AM on the following day after rental. (Unless special arrangements are made in advance with the Caretaker for returning the key.) $90.00 penalty will be levied for failure to return the key. A minimum fine of $100.00 will be levied for any abuse of the outside awning. All doors are to be locked and checked and heating/cooling systems returned to their original settings. Please verify with caretaker since this may change seasonally.
- If adequate arrangements are made prior to the scheduled rental date, the Caretaker (or cleaning service) will clean for the renter. The normal charge is $50.00, but an additional assessment may be charged should additional cleaning be necessary. (See cleaning contract)
- The renter agrees to take all trash, after your party, to the dumpster in the parking lot. The renter is responsible for his/ her guests and must dispose of any litter that might have been left behind in the parking lot and surrounding common areas. The renter also agrees to take all recyclables to their own condominium recycle area.
- All decorations must be removed from inside the premises as well as all signs, balloons, ribbons from all of the poles on Hemlock Road.
- The clubhouse must be returned to the pre-rental condition if self-cleaning is elected. This includes returning all furniture, tables, chairs to their original location and storage; cleaning and returning to original condition any element of the kitchen and bathrooms, removing all trash from receptacles, replacing trash bags (provided) and emptying the vacuum cup/bag; mopping floor surfaces when necessary, removing any food, condiments, beverages etc. from appliances and premises. A more comprehensive lists of all responsibilities will be provided at the pre-party contract meeting.
